Cruise Ships for Event Accommodation: Berthed Hotel Ships for Major Events
Charter a berthed cruise ship as a hotel for the Olympics, World Cup or major events. Planning timeline, cost drivers and ships offered for charter.
Major events can bring more visitors to a host city than its hotels can hold. Organizers, sponsors, national teams, media groups and tour operators all compete for the same rooms. A cruise ship berthed in the host port can add hundreds or thousands of hotel-standard cabins, with restaurants, lounges and housekeeping already on board, for exactly the period you need.
Berthed cruise ships have served as temporary hotels at past events, including the 2004 Athens Olympics and the 2022 FIFA World Cup in Qatar. QPS Marine Ships brokers the charter and sale of cruise ships and passenger vessels worldwide and can help you find and contract a suitable ship.
Upcoming events where hotel capacity may be tight
Every large event is different, but these are examples of the kind of event where host cities can face hotel shortages and where floating accommodation is worth considering:
LA 2028 Olympic and Paralympic Games, Los Angeles, USA.
2030 FIFA World Cup, hosted mainly by Spain, Portugal and Morocco, with matches across many cities.
Brisbane 2032 Olympic and Paralympic Games, Brisbane and South East Queensland, Australia.
We are not stating that ships will be used at these events. Whether a berthed hotel ship is possible depends on port capacity, berth availability, local rules and the decisions of organizers and authorities. If you are planning accommodation for one of these events, it is worth asking the question early.
Other demand peaks, such as large conferences, festivals, motor races and religious gatherings, can create the same opportunity on a smaller scale.
Who charters a cruise ship for an event
Event organizers and host authorities adding capacity for workforce, volunteers or security staff.
National teams and federations wanting a private, controlled base.
Sponsors and corporate hospitality groups hosting clients.
Tour operators packaging rooms with tickets.
Broadcasters and media housing large crews near the venues.
How a berthed cruise ship hotel works
The ship sails to the host port before the event (the positioning voyage), berths alongside, and operates as a hotel for the charter period. Guests come and go through the terminal. The owner's marine crew keep the ship safe and its systems running, while the hotel team provides rooms, meals and guest services. After the event the ship sails away. Nothing has to be built or dismantled on shore.
Key questions to settle early:
Will the ship stay alongside for the whole period, or make short cruises between event days?
Who sells the cabins: you, the owner, or a tour operator?
Which hotel services are included: full board, breakfast only, or rooms only?
What security and accreditation arrangements apply at the berth?
Planning timeline
Ships suitable for event use are limited and often committed to other charters or seasons well in advance. Ports also allocate berths early. As general guidance, start planning 18 to 36 months before the event, and earlier for the largest events and ships.
| Time before event | Typical steps |
|---|---|
| 36–24 months | Define requirements: cabins, guest profile, dates, budget. Talk to port authority about berths. Ask a broker for available ships. |
| 24–18 months | Shortlist ships. Review specifications under NDA. Agree main terms and sign a charter party. |
| 18–12 months | Confirm berth booking, permits and shore services. Plan guest logistics, security and ticketing or room sales. |
| 12–6 months | Finalize hotel service plan, menus, staffing and transport links. Agree inspection and delivery details. |
| 6–0 months | Positioning voyage planning, pre-arrival inspections, guest communications, final readiness checks. |
This is a guide only. Shorter timelines can work if a suitable ship is free, but options narrow as the event approaches.
What drives the cost
Charter rates are set deal by deal. The main cost drivers are:
Ship size and standard
A larger ship has more cabins but a higher daily cost and needs a bigger berth. Newer or recently refitted ships, more balcony cabins and more public spaces usually cost more.
Charter period
The total period includes the event itself plus time to position the ship and return it. A short event can still mean a much longer charter if the ship has to travel far.
Positioning voyage
Moving the ship from its current area to the host port, and back, costs fuel, crew time and port calls. A ship already in the region is often cheaper overall.
Port fees and shore services
Berth fees, harbor dues, pilotage, tugs, shore power, fresh water, waste removal and terminal services all add up over a long stay alongside. These vary widely by port.
Hotel services
Full-board catering, housekeeping, entertainment and extra staff increase the cost compared with a rooms-only arrangement. Agree clearly what is included in the charter rate and what is billed separately.
Fuel and consumables
Even alongside, a ship uses fuel or shore power for electricity, air conditioning and hot water. Who pays for fuel and consumables must be clear in the contract.

Frequently asked questions ### Can you charter a cruise ship as a hotel for an event?
Yes. A cruise ship can be chartered to berth in a host port and operate as a hotel for the event period, subject to ship availability, a suitable berth and local approvals.
How far ahead should I book a cruise ship for event accommodation?
As general guidance, start planning 18 to 36 months before the event. Suitable ships and berths are limited and are often committed well in advance.
Will cruise ships be used as hotels at the LA 2028 or Brisbane 2032 Olympics?
That depends on organizers, port authorities and ship availability. Hotel ships are a possibility worth exploring for any large event where hotel capacity is tight, but we do not know of confirmed arrangements.
What affects the cost of an event cruise ship charter?
The main drivers are ship size and standard, the total charter period, the positioning voyage, port fees and shore services, the level of hotel services, and fuel and consumables.
Does the ship stay at the berth for the whole event?
It can. Most event charters keep the ship alongside as a hotel, but some include short cruises between event days. This is agreed in the charter terms.
Can a smaller group charter a ship for an event?
Yes. Smaller cruise ships and accommodation vessels can suit teams, sponsors and media groups. Tell us your numbers and we will suggest suitable ships.
